Summary of key points
This summary provides key points from our privacy notice. More detail is in the sections below.
What personal information do we process? When you visit, use, or navigate our Services, we may process personal information depending on how you interact with us and the Services, the choices you make, and the products and features you use. When you use Catpilot coaching, this includes your account details and your coaching activity, such as the answers you give and your progress.
Do we process any sensitive personal information? We do not intend to process sensitive personal information, and coaching is not designed to collect it. Please do not include sensitive information in your coaching answers.
Do we receive any information from third parties? Yes, in limited cases. When your organization connects Catpilot to Slack or Microsoft Teams, we receive information from that service, such as your name, email address or account identifier, and the messages you send to Catpilot. When an AI assistant such as Claude or ChatGPT uses the Catpilot connector, we receive the request it sends, which we use only to answer it and do not store. Learn more in sections 1 and 4.
How do we process your information? We process your information to provide, improve, and administer our Services, deliver coaching and training records to your organization, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent. We process your information only when we have a valid legal reason to do so.
In what situations and with which parties do we share personal information? We may share information in specific situations and with specific third parties, including your organization and the service providers that help us run Catpilot. Learn more in section 3.
How do we keep your information safe? We have organizational and technical processes and procedures in place to protect your personal information. However, no electronic transmission over the internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.
What are your rights? Depending on where you are located geographically, the applicable privacy law may mean you have certain rights regarding your personal information.
How do you exercise your rights? The easiest way to exercise your rights is by contacting us. We will consider and act upon any request in accordance with applicable data protection laws.
1. What information do we collect?
Personal information you disclose to us
In short: We collect personal information that you provide to us.
We collect personal information that you voluntarily provide to us when you express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us.
Personal information provided by you. The personal information that we collect depends on the context of your interactions with us and the Services, the choices you make, and the products and features you use. The personal information we collect may include the following:
- names
- email addresses
Information collected when you use Catpilot coaching
In short: When you use Catpilot coaching, we collect your account details and your coaching activity.
- Account and workspace information: your name, email address or account identifier, and the organization, workspace, and team your administrator has assigned you to.
- Coaching activity: the modules and steps you are assigned and complete, the answers you submit, the feedback and results of grading, acknowledgments you give, your progress and completion status, and when these happened.
- Messages you send to Catpilot: in Slack and Microsoft Teams, Catpilot processes messages you send to it, such as messages in which it is directly tagged. It does not read other conversations in your workspace.
- Technical information: information needed to operate and secure the Services, such as request logs and timestamps.
Information from third-party services
When your organization connects Catpilot to Slack or Microsoft Teams, we receive information from that service to identify you and deliver coaching. The Catpilot connector for AI assistants works differently: it does not identify you, and section 4 explains what it receives and keeps.
Sensitive information
We do not intend to process sensitive information, and our coaching content is not designed to collect it. Please do not include sensitive information, such as payment card numbers, government identifiers, health information, passwords, or other credentials, in your coaching answers. All personal information that you provide to us must be true, complete, and accurate, and you must notify us of any changes to such personal information.
2. How do we process your information?
In short: We process your information to provide, improve, and administer our Services, communicate with you, for security and fraud prevention, and to comply with law. We may also process your information for other purposes with your consent.
We process your personal information for a variety of reasons, depending on how you interact with our Services, including:
- To deliver coaching and training. We present coaching content, evaluate your answers, give you feedback, and save your progress.
- To answer connector requests. We check the plans and questions that AI assistants send through the Catpilot connector against your organization's published rules and return guidance, as described in section 4.
- To provide training records to your organization. We record completions, acknowledgments, and related details so your organization can review training and produce training evidence.
- To respond to user inquiries and offer support to users. We may process your information to respond to your inquiries and solve any potential issues you might have with the requested service.
- To operate, secure, and improve the Services. We may process your information to keep the Services running, detect and prevent misuse, and improve our coaching content and features.
3. When and with whom do we share your personal information?
In short: We may share information in specific situations described in this section and/or with the following third parties.
We may need to share your personal information in the following situations:
- Your organization. If you use Catpilot through your employer or another organization, that organization's administrators can see your coaching progress, completion status, and training records, and may be able to see your answers.
- Service providers. We share information with vendors that help us provide the Services, such as hosting providers and AI model providers. We use OpenAI models to generate coaching responses and evaluate answers. These providers process information on our behalf and under our instructions.
- Business transfers. We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company.
- Legal requirements. We may disclose information where required by law, or to protect the rights, property, or safety of Catpilot, our users, or others.
Model training. Catpilot does not use your coaching answers to train AI models, and we use AI model providers under terms that do not permit them to use this information to train their models.
4. The Catpilot connector in AI assistants
In short: If your organization enables the Catpilot connector, AI assistants such as Claude and ChatGPT can check what you are building against your organization's published rules. Catpilot uses what the assistant sends only to answer it and does not store it; it keeps a record of which check ran and its outcome. The assistant's provider handles the rest of your conversation under its own terms.
Catpilot Plus customers can connect Catpilot to supported AI assistants, currently Claude (by Anthropic) and ChatGPT (by OpenAI), and to coding agents such as Claude Code and Codex, through the Catpilot connector, which uses the Model Context Protocol (MCP). An administrator sets it up with a private link for the organization; you do not sign in to it. When a request looks risky, the assistant can ask Catpilot for guidance or send a short description of what is being built, such as the kinds of data involved, who will use it, and where it will run. Catpilot answers from your organization's published rules. No AI model is used to produce that answer.
What Catpilot receives. Catpilot receives only what the assistant sends when it uses the connector: the check being requested, the description and details of the plan or the topic asked about, and technical information about the request, such as the time and which organization link was used. Requests describe the kinds of data involved, such as "customer names and emails," not the data itself. The connector does not identify you, because requests arrive through your organization's link rather than a personal account. Catpilot does not receive the rest of your conversation with the assistant, your uploaded files, or information from other connectors, unless the assistant includes that content in a request to Catpilot.
What Catpilot keeps. Catpilot uses each request to answer it and does not store the plan description or the details sent with it. For each request, it keeps a record of which check ran, which kinds of details were supplied (for example, that an audience was given, but not what it was), the outcome, whether the assistant was told to involve a person, the guardrail topics involved, the versions of your organization's rules and of Catpilot's guidance that applied, and the time. We use these records to operate, secure, and improve the connector and to show your organization's administrators how it is used, such as when it was last used, and we keep them as described in section 5.
Processing by the AI assistant's provider. When you use the connector inside an AI assistant, your conversation, including Catpilot's answers, is also processed by that assistant's provider under the agreement between the provider and you or your organization. Catpilot does not control how those providers handle information in their own products. Please review their privacy policies: Anthropic (https://www.anthropic.com/legal/privacy) and OpenAI (https://openai.com/policies/privacy-policy/).
Public endpoint. Catpilot also runs a public connector endpoint at https://mcp.catpilot.ai that answers from generic guidance, not any organization's rules. It uses what it receives only to answer, stores nothing sent to it, and does not log request content.
Disconnecting. An administrator can remove the connector from the AI assistant at any time, or replace the organization's link in Catpilot, which stops the old link from working. Either stops new requests from reaching Catpilot. It does not delete records Catpilot already holds, which are kept as described in section 5.
5. How long do we keep your information?
In short: We keep your information for as long as necessary to fulfill the purposes outlined in this privacy notice unless otherwise required by law.
We will only keep your personal information for as long as it is necessary for the purposes set out in this privacy notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). Coaching and training records are kept while your organization's account is active, or as otherwise agreed with your organization, so that your organization can rely on them as training records. When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or, if this is not possible (for example, because your personal information has been stored in backup archives), then we will securely store your personal information and isolate it from any further processing until deletion is possible.
6. How do we keep your information safe?
In short: We aim to protect your personal information through a system of organizational and technical security measures.
We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information. Although we will do our best to protect your personal information, transmission of personal information to and from our Services is at your own risk. You should only access the Services within a secure environment.
7. Do we collect information from minors?
In short: We do not knowingly collect data from or market to children under 18 years of age.
We do not knowingly solicit data from or market to children under 18 years of age. By using the Services, you represent that you are at least 18 or that you are the parent or guardian of such a minor and consent to such minor dependent's use of the Services. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. If you become aware of any data we may have collected from children under age 18, please contact us at privacy@catpilot.ai.
8. What are your privacy rights?
In short: You may review, change, or terminate your account at any time.
If you use Catpilot through your organization: your organization controls your Catpilot account and the coaching records we hold for it. We process that information on your organization's behalf. If you contact us about those records, we may refer your request to your organization and will help it respond.
Withdrawing your consent: If we are relying on your consent to process your personal information, which may be express and/or implied consent depending on the applicable law, you have the right to withdraw your consent at any time. You can withdraw your consent at any time by contacting us by using the contact details provided in the section "How can you contact us about this notice?" below. However, please note that this will not affect the lawfulness of the processing before its withdrawal nor, when applicable law allows, will it affect the processing of your personal information conducted in reliance on lawful processing grounds other than consent. If you have questions or comments about your privacy rights, you may email us at privacy@catpilot.ai.
9. Controls for Do-Not-Track features
Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this privacy notice.
10. Do we make updates to this notice?
In short: Yes, we will update this notice as necessary to stay compliant with relevant laws.
We may update this privacy notice from time to time. The updated version will be indicated by an updated "Last revised" date and the updated version will be effective as soon as it is accessible. If we make material changes to this privacy notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this privacy notice frequently to be informed of how we are protecting your information.
11. How can you contact us about this notice?
If you have questions or comments about this notice, you may email us at privacy@catpilot.ai.
12. How can you review, update, or delete the data we collect from you?
Based on the applicable laws of your country, you may have the right to request access to the personal information we collect from you, change that information, or delete it. To request to review, update, or delete your personal information, please contact privacy@catpilot.ai. If you use Catpilot through your organization, you can also ask your organization's administrator.
